1. Who we are
“Train with Flex” (“we,” “us,” “our”) refers to the personal training and wellness services offered by Rafique D. “Flex” Cabral. This Privacy Policy describes how we handle information collected through our website, our mobile app, and our in-person and remote coaching services.
Our mobile app is published on the Apple App Store and Google Play as Dopamine HIIT by Alvarez Digital Solutions LLC, the developer of record. This Privacy Policy applies to the Dopamine HIIT mobile app, the trainwithflex.com website, and all related Train with Flex services.
2. Information we collect
Account information. Your email address, first and last name, and (optionally) phone number, date of birth, and profile photo.
Onboarding intake. Answers to the Physical Activity Readiness Questionnaire (PAR-Q+), fitness goals, and the personal “North Star” you set during signup. PAR-Q+ responses are kept confidential and are used to screen for readiness to participate in physical activity.
Health, fitness, and body metrics. Weight, body fat percentage, BMI, body measurements (chest, waist, hips, biceps, thighs), personal records (bench, squat, deadlift), workout logs (sets, reps, weight, rate of perceived exertion), and workout sessions.
Nutrition and habits. Meal logs (food, calories, macros), supplement names and label photos, daily habits and habit-completion logs.
Scheduling. Sessions you book with Flex and any related calendar metadata.
Payment metadata. When you purchase services or session packages, our payment processor (Square) collects and processes your payment details. We receive transaction metadata (purchase amount, item, transaction ID, subscription status) but do not store your full card number or banking credentials.
App and device data. Push notification token (mobile), display preferences (theme, weight unit, daily calorie target), and basic activity required to keep the app working.
Communications. Contact-form submissions (name, email, phone, subject, message, and the IP address used to submit the form).
What we do NOT collect. We do not integrate with Apple Health or Google Fit. We do not collect your location. We do not access your microphone or camera continuously — the camera is only used when you choose to upload a profile picture or supplement label.
3. How we use your information
We use the information we collect to:
- Create and manage your account.
- Design and adjust the training, nutrition, and habit programs Flex builds for you.
- Screen for safety concerns through the PAR-Q+ and notify you (and Flex) if a medical consultation is recommended before exercise.
- Process purchases, subscriptions, and session bookings.
- Send transactional notifications (booking confirmations, session reminders, account updates).
- Respond to messages you send through our contact form.
- Investigate fraud, abuse, or security incidents, and comply with our legal obligations.
4. Why we’re allowed to use it
We process your information because you have asked us to provide the training service (contract), because it is necessary to operate and secure the platform (legitimate interests), because you have given consent (for example, by answering the PAR-Q+), or because the law requires it.
6. How long we keep it
We keep your account and training data for as long as your account is active. PAR-Q+ submissions are stored as immutable records to preserve a clear health-screening history. Payment records are retained as required by applicable tax and accounting laws. If you delete your account, we will delete or anonymize your personal information within a reasonable period, except where we are required to retain it.
7. Your rights
You can request a copy of your data, ask us to correct inaccurate information, or ask us to delete your account at any time by emailing Train.With.Flex@gmail.com. Depending on where you live, you may have additional rights under state or national privacy law (for example, the California Consumer Privacy Act or New York’s SHIELD Act), including the right to opt out of certain disclosures and the right to non-discrimination for exercising these rights.
Account deletion. You can delete your account directly from the mobile app at Profile → Delete Account, or by visiting trainwithflex.com/delete-account for instructions, or by emailing us. Deletion removes your profile, PAR-Q+ submission, waiver record, logs, biometrics, goals, habits, and consent history. Payment records that we are legally required to keep (for tax and accounting purposes) are retained per applicable law.
8. How we protect your information
We use industry-standard safeguards — encryption in transit, row-level security on our database, audit logging on sensitive tables, and the security controls of our hosting providers — to protect your information. No system is perfectly secure, but we take reasonable steps to keep your data safe and to notify you if we ever discover that it has been compromised.
9. Children
Train with Flex is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you are a parent or guardian and believe your child has provided us with information, please contact us so that we can delete it. Users between 13 and 18 should use the service only with a parent or guardian’s involvement.
10. Health information and HIPAA
Train with Flex is a personal training and wellness service, not a healthcare provider, health plan, or healthcare clearinghouse. The information we collect — including PAR-Q+ responses — is generally not considered Protected Health Information (PHI) under the Health Insurance Portability and Accountability Act (HIPAA), and we do not act as a HIPAA covered entity or business associate. We nevertheless treat your health-related information with care, and we do not share it with insurers or medical providers without your instruction.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make a material change, we will update the “Effective” date at the top and, where appropriate, notify you in the app or by email.
